Your Firm Is Growing—But Your Operations Can't Keep Up
You're working too many hours. Your team feels lost. You have ideas, but no time or team to make them happen.
You're working too many hours. Your team feels lost. You have ideas, but no time or team to make them happen.
You don't need another consultant who hands you a binder of recommendations.
You need someone who will design the systems AND help you build them.
Meet Katie Toscano.
Your Fractional COO & Operations Partner for Firms Who Need Support, But Aren't Ready to Hire a Full Time COO
Every decision, every client issue, every system question comes to you. You're working 60+ hours a week and still can't keep up
New clients get inconsistent experiences. New hires take months to get productive. There's no playbook, just knowledge in your head that you reinvent each time
Your CRM is a mess. Processes barely exist and aren't documented. You know what needs fixing, but you have no time or expertise to build it
The problem isn't you.
The problem is you don't have an operational infrastructure that supports your growth.
Maybe it's time to change things up.
I help professional services firms build the operational foundation they need to scale without burning out. With 17+ years of experience across corporate operations and entrepreneurship, I've seen both sides: managing complex system implementations in large organizations and building operations from scratch in growing firms.
As COO of Cabot & Main and Founder of K&S Consulting, I partner exclusively with high 6 and 7-figure firms. I understand your world—the client delivery pressures, the struggle to balance client work with building your business, the struggle to manage the day to day operations of a team.
Here's what makes me different:
I don't just design systems and hand you a plan. I stay with you through implementation: managing projects, training your team, and ensuring things actually get done and adopted.
My Education & Background:
Business Finance & Law degree
Masters Degree in Business Administration
10 years managing system implementations and program rollouts in corporate accounting & operations
7+ years as COO building and scaling professional services operations for our clients
Clarify your business priorities and create a realistic execution plan that your team can actually follow.
Design systems and workflows that work for your specific firm. We will help you create a system that fits the unique needs of your firm.
Implement processes and manage projects through completion. We don't stop at strategy, we make it real.
Train and align your team so they know exactly what to do and when to do it. Systems only work if people actually use them.
Here's what makes this different from traditional consulting:
✓ I design the strategy (process design, system selection, planning)
✓ We implement together using the most efficient path—I train your team, oversee specialists, or build it myself when it makes sense
✓ Your team owns it with my ongoing guidance so you're not dependent on me forever
You get systems that work AND a team that knows how to maintain them.
Develop structured programs so new hires get productive in weeks, not months. Includes role documentation, training schedules, competency checklists, and 30/60/90-day plans.
Create consistent, professional onboarding experiences from first contact through engagement delivery. Includes templates, checklists, automated sequences, and communication protocols.
Implement clear processes so you can see who's working on what, where capacity exists, and what's at risk. Includes project tracking, capacity planning, and accountability structures.
Design and deploy your client management system, marketing systems & more so nothing falls through the cracks. Includes workflow mapping, setup, optimization and team training. Note: if you are interested in setting up your TaxDome workflows, please visit cabotandmain.com

For founders who need structure and direction:
Best for: Firms with internal capacity to execute but need expert guidance on what to build and how
For leaders who want hands-on implementation support:
Best for: Firms that need systems built, not just designed. You want expertise + execution
For teams needing deep embedded support:
Best for: Firms with complex operational needs and limited internal resources. You need a true embedded COO
Full-time COO salary: $170,000-350,000+ per year plus benefits (30%+) = $220,000-$455,000 total cost
Fractional COO investment: $40,000-$70,000 per year with zero benefits or overhead
Bottom-Line: You save $180,000-$400,000+ annually while getting executive-level operational expertise exactly when you need it.
Please reach us at katie@cabotandmain.com if you cannot find an answer to your question.
A full-time COO costs $170K-$350K+ salary plus 30%+ in benefits, total $220K-$455K per year. You're investing $40K-$70K annually for fractional support with zero overhead. Plus, you get 17 years of experience immediately instead of hoping a new hire works out. No recruitment costs, no onboarding time, no benefits administration.
I cap at 3-4 clients maximum to ensure high-touch support and deep results. You're not getting a consultant juggling 15 clients, you're getting focused attention and real partnership
No. I work with whatever tools you already use when possible (I have experience with Agency Revolution, ClickUp, Asana, Practice Better, ThriveCart, Zapier, Dubsado, G-Suite, Kajabi, Tango, the latest AI tools and many others). If a better fit exists for your needs, I'll guide the selection and transition, but we never force unnecessary changes.
Expect one half-day strategic session each quarter, plus bi-weekly check-in meetings (30-60 minutes depending on the package you choose). Your team will need time for implementation work and training. But here's what you WON'T be doing: figuring out what to build, designing processes, or managing the projects yourself. That's my job.
Real operational transformation takes time. Month 1-2: We're assessing and planning. Month 3-4: We're building and implementing. Month 5-6: We're refining and ensuring adoption. Quick fixes don't create lasting change. The 6-month commitment ensures we're solving root causes, not symptoms.
We'll review results and decide together. Options include: continuing with a month-to-month retainer at the same or adjusted level, transitioning to quarterly check-ins for maintenance, or completing the engagement if your systems are solid and your team is self-sufficient. Many clients continue for 12-18 months as they tackle new growth challenges.
Most clients report feeling more in control within the first 30 days (we start with quick wins). Tangible results like completed system implementations or onboarding programs typically land within 60-90 days. Full transformation, where your firm is running smoothly without constant owner involvement—>usually takes 4-6 months.
Great! I work alongside coaches and consultants regularly. They typically focus on strategy, vision, and growth planning. I focus on operations, systems, and execution. We're complementary, not competing. In fact, many coaches refer clients to Operations Partners specifically because they know their clients need operational support to execute the strategic plans.
Great question! We handle these types of clients and workflows directly through our sister company Cabot & Main. Learn more here.
